The Microsoft (MS) Phone System is the newcomer as part of MS Teams, which is part of MS Office 365 (E3 or E5 plan). While using MS Teams you can see the presence of the MS Teams members, audio/voice call them, video call them and chat with them. However if you want to audio call somebody who doesn't use MS Teams, then you need to install the MS Phone System. This consists of a direct router (eg. an Audiocode Session Border Controller) that needs to be on your premise. You also need a SIP trunk (eg. the nexVortex SIP trunk). This MS Phone System could replace your whole phone system!! The big advantage of the MS Phone System is that it is part of MS Office 365. You have now one system (MS Office 365) to email, to store and share documents, web links, lists, calendars, team spaces and videos via MS Sharepoint Online, and to interact with other people via chat, audio call, video call, and a discussion forum using MS Teams that includes MS Phone System.

The MS Phone System is still missing some call features such as call parking, Automatic Call Distribution (ACD), contact center features and a few other ones. Therefore you may want to keep your current Cloud PBX or IP PBX. Or get a Cloud PBX or IP PBX to replace your old analog PBX. The nexVortex SIP trunk can connect both your MS Phone System direct router (Session Border Controller) and your Cloud PBX or IP PBX to the internet.

When to Use it?

First of all, every company should use MS Office 365 to the maximum since it is a must for online email, since it stores and organizes your files in the cloud  via MS Sharepoint, and since it enables interaction with other people, customers and vendors via MS Teams that can include MS Phone System. MS Office 365 reduces your administration cost by at least 50%, and it is very cheap!

Depending on your situation, you should use MS Phone System in the following scenarios:

​

  1. If your company uses MS Office 365, and if your employees use MS Teams, and if your employees want to voice call external people that don't use MS Teams, then you should install the Microsoft Phone System. Your company may have already a cloud PBX or IP PBX, I recommend to keep your cloud PBX or IP PBX for a while since the Microsoft Phone System still misses a few advanced features such as call parking, Automatic Call Distribution, contact center and a few other ones. 

  2. If your company doesn't use MS Office 365, your company should start using it asap. See the reasons for it

  3. If your company still uses an analog PBX, then:

    1. Get rid of the analog PBX asap​

    2. Do one of the following options:

      1. Only use MS Teams for audio/voice calling, video calls, chat, webinars and webconferencing. This needs to include MS Phone System if your employees need to call external parties that don't have MS Teams. You don't need anymore a cloud PBX or IP PBX.

      2. Or, you install a cloud PBX or IP PBX (See here) and use or buy MS Office 365 (E3 or E5 plan that includes MS Teams), and buy MS Phone System, an Audiocodes Session Border Control and a nexVortex SIP Trunk.
