Summary

Internet Protocol (IP) Telephony or Voice Over IP (VoIP) enables you to make voice calls via your Local Area Network (LAN), your Wide Area Network (WAN) and the internet. The voice calls travel over the internet using the IP protocol very much like your Instant Messages do.

Our IP telephony solution for small size businesses consists of nexVortex or Vonage phone numbers which can be the same as you have today, and an IP Private Branch Exchange (IP PBX) for 2 – 50 phone sets and 1-4 analog external phone lines. You may need only 1 analog phone line as a backup if the power or the internet goes down. An overview of our solution is given below:

Regarding the phone numbers, InterCS can get your phone numbers ported to nexVortex or  Vonage, and ensure that you get the right rate, and understand the nexVortex or Vonage service features. The major benefits include no more call charges per minute (local or long distance), unlimited calling plan or a business limited calling plan at a cheap flat monthly rate.  Your reduced monthly phone bill will be well worth our one time consulting fee.

Regarding the IP PBX, InterCS  can offer an IP PBX that satisfies your requirements and budget limit. InterCS is offering the Quadro IP PBX of Epygi after a careful analysis of several vendors. This IP PBX has all the features of your current analog PBX, and has additional features such as online set up, online administration of users, and online set up of calling features by the user him/herself. Such an IP PBX connects to the internet via your existing broadband internet connection, and to ordinary analog phone sets and new IP phones. To move, add or change phone users, you don’t need to call your PBX techie any more. You can do it yourself online. You can easily add a remote office to your IP PBX. There is no need to buy another IP PBX for the remote office. Calls between your offices are basically free. Integration of this IP PBX with Microsoft applications will be available very soon. The very reasonable price of  this IP PBX and its full set of rich features will be ideal for your small business.

InterCS has a lot of experience with the combination of  nexVortex or Vonage VoIP service and the Quadro IP PBXs.

Features

InterCS’s IP telephony solution for small businesses consists of the following two components:

  • nexVortex or Vonage phone numbers and minute plans
  • A Quadro IP PBX from Epygi

With this solution, professional services, implementation services, maintenance and support services and application integration services are offered by InterCS.

Regarding the solution, each component of the solution will be described next.

nexVortex or Vonage Phone Numbers and Minutes

Based upon your requirements, you can keep your existing phone numbers. InterCS will submit a proposal to you that consists of the best choice and of an implementation and training plan. In general Vonage monthly rate plans for businesses that use less than 12,000 minutes/mth, are as follows:

Since InterCS is Value Added Reseller of Vonage, you will get one month free service through our Vonage affiliation. Monthly rates for businesses that have 8 or more phone numbers, or where usage is more than 12,000 mins/mth, are lower than $40 per month per  number.

A good alternative is nexVortex that offers Direct Inward Dial (DID) numbers and minutes. You charge up your nexVortex account with money, and any USA call you make is charged against that account at 2.5 cents per minute. International rates are also cheap.

Quadro IP PBX

An IP PBX is needed when you need an auto attendant, when you want to transfer calls within the office easily, when you want to consult with a colleague before you transfer a call, or when you have several phone stations to be connected to each other while you may have only two external phone numbers.

The Quadro IP PBX has all the major features of an analog PBX such as:

The Quadro IP PBX has additional features such as:

  • Online administration of users. See below for the online interface:

  • Online administration of calling features, which can be enabled by the user. See below:

An example of a Quadro4X IP PBX and its set up architecture is illustrated below.

Benefits

The savings of VoIP are enormous, and are as follows:

  • Cost Savings

    • Part Savings: About 50% in a new building.

      • Only voice wires for needed for analog phones. IP phones use the existing data wires. So, a lot less voice wiring needed.

      • Acquisition cost, support cost and maintenance cost of an IP PBX is much less than that of a traditional PBX. An IP PBX runs on a low cost server.

      • No more a PBX at each remote branch. One IP PBX may sufficiently serve the headquarters and those remote branches. This is a huge savings!

      • No more new business cards and stationery when employees move to a new area code since they can take the phone number with them or, an IP PBX can forward calls to their new extensions

    • Labor Savings: About 50% in a new building.

      • Less installation costs. Less voice wire purchasing. Less voice wire installation, testing and maintenance. Existing data wires should suffice. The phone wiring nightmare is past.

      • Less maintenance costs. No more telecommunications department since the data networking group can take care of all IP Telephony. IP telephony maintenance is much easier than with the traditional phone set up. Moves, adds and changes of a phone set just involve a change in the IP Telephony database.

      • Less expensive development of screen pop up or data directed call routing applications.

    • Phone service savings: Dramatic savings.

      • No more surprising phone bills. However, you may need to upgrade your internet connection to a T1 to accommodate the additional IP voice calls. Telco cost for phone numbers is about $40/phone number. You can keep your existing phone and fax numbers.

      • No more toll or domestic long distance call fees and no more T1 voice channels to remote branches. An intranet data network enables your IP PBX to reach all these branches while bypassing phone companies.

      • Less travel phone costs since a digital phone adapter or a PC softphone can be hooked up to the internet in a hotel or hot spot for a low fee or for free.

  • Revenue generation

  • Higher work productivity for employees.

    • Integration with MS Outlook or Webmail enables your employees to dial from MS Outlook or Webmail, to send and retrieve text email, voice mail and faxes all from the same application. Incoming calls could pop up automatically the callers information that is in your MS Outlook or Webmail or any other business application. All information will be now at my fingertips and eartips so that I can make faster a decision and avoid the creation of delays and errors.

    • Conferencing can be done by employees without any help

    • Voice recording has now become easy to do. Recorded voice clips can now be easily forwarded to others so that they can listen to it anytime anywhere.

    • “Follow Me” enables an employee to have the IP phone call be forwarded to the phone at hand, be it the office phone, cell phone or home phone. An employee will never miss a call if this is needed.

  • Better customer service.

    • Virtual contact centers can now be set up much easier and cheaper. Calls can be forwarded based on the required skills to the right agent anywhere in the world via the internet. Complex issues will be handled timely by the right expert even when he/she is on the road.

    • On websites, you will be able to just click on a phone number to dial that phone number. Of course the website has to enable this.

    • On websites, live chat or Click to Phone Me will be much easier to implement
